Tech Tip: Creating distribution lists in Outlook 2007

Distribution lists are groups of e-mail addresses that you can use to organize your contacts. They also allow you to quickly and easily send e-mails to multiple people at once, without the hassle of typing out each individual address.

Step 1: Find your contacts

First, open up Outlook and go to your Contacts (Go > Contacts on the toolbar or use the Ctrl + 3 shortcut). On the Contacts sidebar, select the By Category option under Current View. You’ll see all your contacts in the right-hand window.

Step 2: Select the contacts for your distribution list

The trickiest part is selecting all of the contacts you want in one go. Find the contacts and then hold down the Ctrl key on your keyboard while clicking on each individual name. You can also hold down the Shift key, but this works only if you are selecting a long, uninterrupted list of names.

Step 3: Saving the distribution list

Now that you have selected your contacts, go to Actions > New Distribution List on the toolbar (or use the keyboard shortcut Ctrl + Shift + L).

Type in a name for your distribution list and then click Save & Close.

Your new distribution list will appear in the list of contacts, but will be bolded.

Step 4: Using your distribution list

To make sure your distribution list works, simply create a new e-mail message. In the TO: field, type in the name of the distribution list. You should see the name become bold with a plus (+) sign before it. If you click the plus sign, it will expand the list so you can see all the individual e-mail addresses.
